Executive Assistant The Executive Assistant is responsible for working with the President and direct team to provide support that will enhance the team's effectiveness, efficiency, and overall management capacity.
The Executive Assistant will have strong time management skills and initiate the coordination of sensitive, confidential, and discretionary documents and tasks with personal integrity.
The Executive Assistant must be a strategic thinker and align with the businesses core values.
The position includes effectively managing heavy calendars, anticipating the needs of the Executive in advance, wearing multiple hats and prioritizing workflow in key business priorities and strategies on an on-going basis.
Must be highly adaptable and prepared for a fast paced constantly changing business environment.
Responsibilities:
Sustain a daily calendar of meetings and events; resolving any scheduling issues Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects and other documents in support of objectives for the organization Arrange travel and accommodations and prepare expense reports Screen incoming telephone calls; take and deliver accurate messages; respond to requests by gathering and providing information and referring non-routine calls to the appropriate staff Screen inbound emails; prioritize and organize for BU President.
Organize business related social media accounts for BU President to handle company announcements, individual announcements and other postings as necessary.
Draft and prepare correspondence for internal announcements, executive leadership team meetings, and organizations that the President is involved with Manage the President's contacts Prepare arrangements for large on or offsite meetings, inclusive of travel, meals and space rental, as needed Be responsive to emails/texts/phone calls, with contact outside normal business hours Welcome the Executive's guests by greeting them, in person or on the phone; answering or directing inquiries Maintain work area, equipment, and tools in a clean and organized manner; follow all Safety Guidelines Other duties as assigned
Qualifications:
Education High School Diploma or equivalent is required Bachelor's degree in Business Administration or related field preferred Experience & Skills 7
years of experience in office/administrative support High degree of proficiency with Microsoft PowerPoint, Excel, Word, and Teams Experience arranging travel Experience working with C Suite Exceptional communication skills and executive phone etiquette (Presential and virtually) Ability to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands Able to demonstrate their reliability, trustworthiness, and displays a high level of integrity High level of interpersonal skills to interact with customers, executives, and individuals at all levels in the organization in person and virtually Demonstrated ability to appropriately manage highly sensitive and confidential situations Limited Travel Must successfully complete a criminal background check, physical, drug screen and E-verify Required to sign an NDA specific to all business and personal matters related to BU President The Mazzella Way Mazzella is a family owned company that puts people first.
