Summary:
The Office Manager serves as the first point of contact for the main office, greeting visitors, determining their nature of business and directing to appropriate staff.
Maintains confidential files and provides bookkeeping and administrative support essential to Neighborhood Alliance.
Supervisory
Responsibilities:
May supervise various volunteer staff and interns.
Essential Job Functions:
Administrative Support Coordinates incoming and outgoing mail for organization including opening mail, date stamping and routing to the appropriate department and/or staff member.
Answers and directs incoming calls to appropriate personnel and/or community providers; provides callers with information on organization.
Manages vendor relationships for office systems including computers, telephone, copier, postage meter, etc.
Collates Board meeting materials; attends Board meetings, records and prepares minutes for approval as needed.
Provides assistance as directed in organizing meetings, invitations and activities including acquiring refreshments.
Maintains, organizes and orders office and building supplies for the Administrative Office.
Coordinates data risk management program with Iron Mountain for all sites.
Coordinates master conference room schedule via Outlook calendar.
Schedules appointments for the CFO and CEO as needed.
Bookkeeping and Accounting Support Maintains files including but not limited to accounts payable, and accounts receivable using QuickBooks.
Provides assistance to the Chief Financial Officer and Fiscal Department Staff in preparation of the audits and throughout the audit period.
Posts vendor invoices and employee reimbursement requests; files accounts payable; and mails vendor payments.
Collects fees, prepares receipts, provides safekeeping of fees, prepares and deposits money received as directed.
Prepares and serves as the primary support for payroll submissions and reports.
Additional Job Functions:
Prepares reports, statistical information, summaries and digests of confidential nature, prioritizing assignments to meet deadlines.
Maintain confidentiality in all matters pertaining to Neighborhood Alliance and the clients served.
Prepares marketing and tour packets as needed.
Attends development team meetings and special events as needed Maintains check-in/check-out of Fund Development special event materials.
Assists with Christmas for Caring All other duties as assigned Necessary Skills, Education, and Training:
Associate's Degree or Equivalent Experience Three years of related experience in office administration; AP, AR or bookkeeping; and CRM software.
QuickBooks experience required.
Proficiency in Microsoft Office including Word, Outlook, Excel and Access.
Highly developed oral and written communications skills Excellent planning and organizational skills Ability to handle multiple priorities, work independently and in partnership with other staff under general supervision Ability to interact with people of all ages and cultural backgrounds.
Positive and professional demeanor Keyboarding skills of 55 WPM.
Dedication, flexibility, attention to detail and creativity.
Access to an operational vehicle; must have and maintain a valid Ohio Driver's License Job Type:
